This study aimed at designing an automatic records classification system to enable an automatic classification focusing on the aggregation of the context of records rather than the contents of individual record in the classification scheme, structured on the basis of business activities analyses for records reflecting the business activities. The automatic records classification system was designed to have mutual supplements by constructing the classification scheme and thesaurus together as the classification reference, as well as the aggregation of records that have been already classified. Additionally included are plans to apply the classified contextual information of records to the classification reference on the real-time base right after the category assignment of records to be classified. Although there are limitations as the designed system depends on the quality of the contextual information, it is considered that the system could lead to ensure that the contextual information of records should be more substantial.

Therefore, archival information package should be defined for long-term preservation. Web records can be stored in the archival information package for electronic records, because web records is a kind of electronic records. However, the NEO(NARS Encapsulation Object), the archival information package for electronic records in Korea, can't able to store web records, because it was developed without consideration of the characteristic of web records. In this paper, we define extended NEO based on the analysis of KoSurWeb and KoDeWeb, that archival information package for document of surface and deep web as well as the NEO. Web records can be preserved and utilized along with electronic records by using the extended NEO. Also it can be used for record and legal evudence by archiving web records of public institution about e-commerce.

  • The primary function of an electronic records management system (ERMS) is to support organisations in providing effective records management services by enabling efficient remote access to the organisations' records. This helps the organisation to continue running during emergency events, such as the COVID-19 pandemic. The need to study ERMS for accessing records remotely has increased dramatically, due to the increase in daily use. The situation arising from the COVID-19 pandemic has increased the need for implementing proper digital systems, such as ERMS, to enable efficient work processes and enhance business continuity. An ERMS has the potential to allow organisations to create records and workflows off-site. During a pandemic, the ability to structure processes digitally helps in maintaining operations remotely. This study aims to provide a narrative review of the ERMS literature with an emphasis on explaining the primary components of ERMS that act as enablers for the implementation of the system in the oil and gas sector of developing countries. The current study proposes ERMS roles and responsibilities that could enhance business continuity. The authors use a qualitative narrative review and analyse the literature related to this study and its findings. The results show that, in cases of risk or crises, staff members need to have easy access to their records and documents to remain productive. An ERMS allows professionals to remain active and work off-site. Thus, ERMS play a significant role in protecting an organisation's content through the monitoring and control over who has authorisation to access its records.

  • There have been growing interests in work process analysis methodology, ever since ISO 15489 and DIRKS were introduced to the Korean archival and records management community. It is because the methodology has been expected to provide with much needed information, with which records management programs could be designed. The information encompass from those needed in developing macro-organizational framework such as business classification schemes, to those essential to identify exact points of time, at which records management systems should capture records during each phase of business process. The Korean community, however, currently possesses a surprisingly scanty understanding of the methodology. The present paper aims to promote its understanding among Korean archivists and records managers, by reviewing an Australian standard of Work Process Analysis for Recordkeeping(AS 5090). It begins with drawing attention to the fact that the work process analysis is utilized in diverse areas, encompassing systems development, organizational re-engineering, and human resources management in business settings. When the methodology is implemented in records management settings, therefore, focus should be lied in finding out ways of creating and capturing records from the routine business activities. The paper then reviews the relationship among the three standards, AS 5090, DIRKS, and ISO 15489. Most parts of the paper are dedicated to review AS 5090 in detail, with examples. The paper also provides with output forms to be used to organize and represent results from the analysis.
