A Case Study on Acquisition and Arrangement at Institutional Archives at an Art Museum: Focus on the National Museum of Modern and Contemporary Art, Korea (미술관 기관아카이브의 기록물 수집과 정리에 관한 사례연구 - 국립현대미술관 미술관자료를 중심으로 -)

  • The National Museum of Contemporary Art, Korea began operating the museum archives in October 2013. Although the museum archives have an independent flow that is distinct from discussions of the archival sciences, it is a reality as a record management organization, and therefore, access to and analysis from the viewpoint of archival science is required for efficient operation. The purpose of this study is to diagnose the method of collecting and organizing records from the viewpoint of archival sciences from the Institutional Archives of the National Museum of Contemporary Art, Korea. To this end, we theoretically examined the function of the museum, the role of the museum archives, and the scope and method of collection and arrangement of the museum archives. Based on these discussions, we analyzed the scope of the collection and the system of arrangement of the institutional archives. Then, we suggested some improvement plans.

Prefectural Archives and Records Management at Prefectural Governments in Japan (일본(日本)의 지방공문서관(地方公文書館)과 지방기록관리(地方記錄管理) -문서관(文書館)과 역사자료관(歷史資料館)의 설립과정을 중심으로-)

  • This thesis aims to study the founding process and operation of the prefectural archives of Japan and to put that knowledge to the founding regional archives in Korea. Now 28 among 47 Prefectural Governments in Japan have founded and operated the prefectural archives. While Kyoto Prefectural Library and Archives, Nagano Prefectural Museum of History, Gifu Prefectural Virtual Museum of History, The Archives of Hyogo Prefectural Government, Ibaraki Prefectural Museum of History and Hukushima Prefectural Archives are on the type of Prefectural Museum of History, the rest of them are on the type of Archives. The Prefectural Museum of History in Japan has a complex function as the museum, the library, and the archives. But the Prefectural Museum of History seems to be a sort of transient phenomenon to Archives. The reason which Prefectural Museum of History can not develop into the Archives is not so much owing to financial difficulties as lack of understanding on the function of Archives. The thesis shows founding process of each prefectural archives. Especially, the case study on the Kanagawa Prefectural Archives, Okinawa Prefectural Archives was arranged by the detailed data investigation. Comparing with other prefectures, these three prefectural archives have a system in the collection and arrangement process of current official records, paleography and many other materials, and construct records management system with institutionalizing accession, arrangement, and opening of official records by regulations, rules and so forth. But because of historical background and character in each region, the difference may exist in the founding process of three prefectural archives. Before central archival institution, National Archives of Japan, is founded, the prefectural archives have been founded at each region and they have gained relatively independent status so that decentralism in the system of managing records could be possible. And the private historical organizations had many influences on the founding process of National Archives of Japan. Of course the Japanese Archives system may have many differences from Korean regional archives. While Japan established Archives institute for itself with localism, Korea has not settled the system of self-government still. Moreover, financial difficulties on founding regional archives and lack of understanding of the Archives remained in Korea. And yet with regard to the founding regional archives in Korea, the case of operation and founding process of prefectural archives of Japan may be of great value.

A Study on the Proposal for the Description Elements of Art Museum Archives (미술관 아카이브 기술요소 제안에 관한 연구)

  • Art Museum Archives are archives that are created by individuals and organizations that have a sufficient worth that necessitate permanent preservation. Art Museum Archives, which include various medium and types, are archives that have information and evidence based value, and are established and supported for the research of the Art Museum and Art History. For the systematic implementation and application of an Art Museum Archive, there is a need to establish related description elements, and through this not only must information on the individual archives be provided, but through a high utility finding aid, the creation context of the archived document should be provided so that users of the archive can easily access documents. In the case of Korean Art Museum Archives, there is a tendency to focus on the fragmented informational value of an individual archive document, which in reality causes the structural and contextual element characteristic of the document to be destroyed. Therefore this research supports the Hierarchical Description of Art Museum Archives and has the objective of proposing Art Archive Description Elements that promote the preservation of creation context and effective utilization. In addition, because personal records take up a large portion of Art Archives and are very diverse in terms of medium and type, a Description Element that can reflect this is attempted to be proposed.

The Classification System and its Code on Archives of the Government-general Museum of Joseon in the National Museum of Korea (조선총독부박물관 문서의 분류 체계에 대한 시론)

  • This paper presents a new classification and code system on the Archives of the Government-general Museum of Joseon in the National Museum of Korea. Three points were noted that since the Museum belonged to the Government-general of Joseon, the classification system of the Archives should be established to comply with the Archives system of the Government-general of Joseon; based on the concept of the functional provenance, it is necessary to establish a classification system in accordance with the organization structure of the Government-general Museum of Joseon; a systematic and simple classification codes should be given based on the classification system to improve the convenience of searching and using the official document. The classification system and its code are proposed in the order of major function, medium function, small function, and detailed function. The major function of the Archives is 'A-Educational affairs', medium function 'Museum.' The small function may be divided into General affairs (01), Temple (02), Scenic Spot and Natural Monument (03), Historical Site (04), and Museum (05). The detailed function and detailed sub-functions are categorized by the various work assignments in each work units. I hope that this new classification system will make a contribution to organizing and utilizing the Archives of the Government-general Museum of Joseon in the National Museum of Korea.

Establishing the Educational Archives through Integrating Museum, Archives and Library Functions in Gyeongsangnam-do (통합형 지방교육기록물관리기관 설립 방안 : 경상남도를 중심으로)

  • This study is to investigate the development of 'Educational Larchiveum' especially for the Kyeongsangnam-do Provincial Office of Education. 'Educational Larchiveum' means Educational Archives including some museum and library functions. This study begins with articulating that why the provincial offices of education should establish their own archives despite of legal obligation. It draws the roles of 'Educational Larchiveum' and its environmental requirements, based on analysing the Archives/Museum case of Toronto District School Board Education. Finally it suggests that how Gyeongsnam-do Offie of Education can establish the 'Educational Larchiveum' in condition of integration of the Gyeongsnam-do Educational Museum and the private educational museum(Park Yeon-mook Educationl Museum).

Archives and Museum Exhibitions Compared : with the Emphasis on the Exhibitions Held in Memory of the 60th Anniversary of National Foundation (아카이브와 박물관의 전시 비교와 개선방안 - 건국 60년 기념 전시를 중심으로 -)

  • This study seeks some ways to improve archives exhibitions by comparing with museum exhibitions. For this purpose, this study overviews the present state of domestic archives exhibitions and extracts some features compared to museum exhibitions. And it suggests some improvement ways for archives exhibitions especially based on comparative analysis of the special exhibitions held by National Archives of Korea and National Folk Museum of Korea in memory of the 60th anniversary of National Foundation. It derived some ways to facilitate archives exhibitions hereafter, they were targeting distinctive customers for each area, communicating proper message for the theme and target of exhibitions, orienting theme-typed exhibitions, reflecting customers' feedback, exhibition educational services' invigorating, neutral interpretation of modern archives, and offering material on life and cultural history in priority.

  • Since early 2000s, there has been a growing interest in art archives. Despite of the interest, there are only studies which did not suggest cases that the system of art archives was constructed, but had just theoretical discussions. This article reports the organizations & functions, rooms & locations, materials, acquisition institution and its limitations of "The Art Archives, Seoul Museum of Art" and describes in the archival aspect, the process through which the system of "The Art Archives, Seoul Museum of Art" had been constructed. This study reviews the implications of the archives which were established through the process, and the tasks to develop the art archives in Korea.

War and Women's Human Rights Museum: Archives are Key (아카이브 중심의 전쟁과여성인권박물관)

  • This article introduces the case of archival management of the War and Women's Human Rights Museum. The War and Women's Human Rights is a nongovernment organization (NGO) focusing on the welfare of the Korean women who survived the Japanese military sexual slavery and is operated by a small museum. On the surface, the institution is registered and operated as a museum; however, as the parent institution's actual work and collection records were transferred and managed, archival management functions account for a large portion of the museum's work. In this study, the museum archivist and the collection archives' characteristics and roles were introduced. As the differences and specialization between general museums and records management institutions are seen through the collection types, the advantages of a museum for archive management were discussed, and a system for records management institutions to move toward cultural institutions was proposed. Furthermore, the record management problems and their impacts on record management in response to the organization's recent crisis, and its future vision and plans were introduced.

A Study on the Present State and Improvement of National Museum Records Management System (국립박물관의 기록물 관리 현황과 개선방안)

  • Museum Records is both a resource for the administration and for researchers. And It is necessary for the day-to-day operation of the museum's activity and it serves researchers of all kinds. This study is aimed to grasp the present condition of museum records management in a National Museum of Korea and 11 local national museums in Korea as a case study. To this end, two methods were used to collect the essential data. First, a comprehensive literature survey was conducted to investigate foreign successful museum records management system. Second, interview and questionnaire survey were conducted to collect the data of actual state of National Museum. The results show that National Museum should be a wholly responsible for the department and disposition of professional staffs and set up the comprehensive registration system, the standard of classification considering the museum's feature and the regular estimation system. And also National Museum should expand and improve the facilities according to "Archives and Records Management of Public Agencies Act".

Collection Status of Modern Public Records and Cooperation Issue: in the Museum, Archives, and Libraries (근대 공문서 소장 현황과 협력 과제 - 박물관·기록관·도서관을 중심으로 -)

  • This study investigated collection status, characteristics of their collections, and service of five institutions holding modern public records such as museums, archives and libraries in Korea. Investigation found out that most of them lack total catalog of their collections and provide limited on-line service. In addition, there was a case that one record group from the same provenance is separatedly preserved at two to three institutions. As a result of the investigation, it is suggested that cooperation among museum, archives, and research institutes will be necessary in order to arrange and use modern public records scattered in each institution.
