  • This study aims to propose a digital repository platform for academic department records in order to optimize the efficiency of collecting and utilizing academic department records in the absence of university archives and/or in circumstances of overlooking academic department records. First, the study conducted a survey on 70 staffs working in the departments of public and private universities as well as on 32 record managers in university archives about their awareness of and the situations related to academic department record management. Second, it designed the database and interface of a digital repository platform that registers and preserves academic department records effectively, and that proposes 26 essential metadata for managing academic department records. Third, this study built an academic department record repository named "Department Records Repository in the University (DRRU)" based on the OAK repository environment, with four core functions such as login, upload, search, and browse.

Also we discuss the conceptual approaches and requirements for long-term preservation in an electronic environment. The preservation in digital environment is to protect itself of record identity with the reliability and authenticity, and to ensure the accessibility of records. It needs to be periodical migration along with digital environment change for the long-term preservation of the electronic records. and to select software independent standard format. to ensure the integrity of electronic records along with this preservation strategy, process and relative information required for digital preservation are to record in the form of metadata. The preservation system is separated into four functional entities ; registration process, preservation process, access process, main record management system. Also, this article is conceptually to introduce the selection criteria of storage media, the security provision for the archive collections and the disaster recovery which apply to the digital archives.

  • Electronic environment affects archival community to a great extent. It redefines virtually every stage of archival management form creation to current and semi-current use, to appraisal, and to preservation of records. Faced with the problems caused by ever increasing electronic records, the community is forced to reconsider traditional concepts, approaches, methodologies, even the basic paradigm embedded in archival theory and practice. The present paper discusses the need to reexamine principles and techniques of archival management in the light of digital environment. It also urges archives and archival institutions, the archival profession, or the archival community at large, to participate in this critical enterprise. Success in this endeavor will, eventually, pave the road toward creating, organizing, providing access to, preserving reliably and authentically electronic records and designing proper system for the societal collective memory in recorded digital information.

  • The greatest mission of archival community lies in collecting records to document past and present Korean society and in safeguarding them to pass over to the next generation. For the last decade, Korean archival community has actively pursued this mission and accomplished it to the certain extent. A series of events occurred during the last year urged the community to regretfully accept that the so-called accomplishment was by no means satisfactory. The present study aims to review what has been achieved against what should be if the community is to be truthful to the fundamental mission. It begins with addressing attributes of electronic records. To be specific, attributes of electronic records as 'records' are compared against those as 'digital objects.' Current state of long-term preservation of electronic records is reviewed. Suggestions follow in terms of four directions: establishing a policy framework based on principles of electronic records management, building integrated electronic records management system, researching and developing functionalities for long-term preservation, and finally, knowledge transfer and coordination.
