  • This study explores the transfer of defunct school records (by preservation period, type, and place of transfer) in South Korea since the Public Records Management Act was enacted in 1999 and suggests improvements. Metropolitan and provincial offices of education, totaling 17, were asked to disclose information about the status of defunct school records. Since 1999, 1,411 schools nationwide have closed permanently, predominantly elementary schools, followed by high then middle schools. By preservation period, there were more records in the 1 to 10-year category than in the 30-year to permanent category. By record type, most were electronic records, followed by paper records, archival objects, and audiovisual records. By place of transfer, most nonelectronic records were transferred to integrated schools, and most electronic records were transferred to the Records Management System. In-depth interviews with 10 record managers from local education offices found that the management of defunct school records varies widely by region and institution because of the lack of specified manuals. Participants also reported difficulties in transferring web-based records, archival objects, and audiovisual records, as well as insufficient archival space and computer systems. This study also provides suggestions to improve the management of defunct school records, such as establishing specified manuals, creating a dedicated government department for managing defunct school records, deploying workforces, and improving computer systems.

  • The purpose of this study is to investigate the current status and causes of misclassification of school records and to suggest the directions to improve the School Records Management Criteria Table(general disposition authority for school records), which will lead to misclassification reducement. This study begins with analysing the records created or received in four schools sampled for one year to investigate the status and causes of misclassifications. A advisory group including four administrative officers and seven records managers was formed and group meeting was held twice to identify the causes of the misclassification and to suggest alternatives. In this study, 33 unit tasks(transactions) with frequent misclassification were identified, and the cause of misclassification was analyzed based on focus group interviews. The main causes of misclassification were categorized into two types. This study concludes with suggesting the improvement of the School Records Management Criteria Table for addressing the causes, including commentary reinforcement and the addition of workflow to complex tasks.

  • To be able to present research authenticity, or to cope with patent related cases or any possible law suite for intellectual property, research records management is very important for evidence as well as for providing research information. But record keeping in engineering school laboratory is in an early stage, and lacks associated rules and best practices, which makes systematic research records management hard. This research investigated current practices of engineering school laboratories, analyzed related problems, and provides systematic methods for effective engineering research records management, such as modifying related regulations and process, systematizing the process of research records management, and educating researchers and building infrastructure.

  • Objectives: To investigate data agreement of cancer registries and medical records as well as the quality of care and assess their relationship in a 5-year period from 2006 to 2011. Methods: The present cross-sectional, descriptive-analytical study was conducted on 443 cases summarized through census and using a checklist. Data agreement of Nemazi hospital-based cancer registry and the breast cancer prevention center was analyzed according to their corresponding medical records through adjusted and unadjusted Kappa. The process of care quality was also computed and the relationship with data agreement was investigated through chi-square test. Results: Agreement of surgery, radiotherapy, and chemotherapy data between Nemazi hospital-based cancer registry and medical records was 62.9%, 78.5%, and 81%, respectively, while the figures were 93.2%, 87.9%, and 90.8%, respectively, between breast cancer prevention center and medical records. Moreover, quality of mastectomy, lumpectomy, radiotherapy, and chemotherapy services assessed in Nemazi hospital-based cancer registry was 12.6%, 21.2%, 35.2%, and 15.1% different from the corresponding medical records. On the other hand, 7.4%, 1.4%, 22.5%, and 9.6% differences were observed between the quality of the above-mentioned services assessed in the breast cancer prevention center and the corresponding medical records. A significant relationship was found between data agreement and quality assessment. Conclusion: Although the results showed good data agreement, more agreement regarding the cancer stage data elements and the type of the received treatment is required to better assess cancer care quality. Therefore, more structured medical records and stronger cancer registry systems are recommended.
