A Study on the Development of the Records Management Standard Table for College of Education: Focused on J College of Education (교육대학교의 표준 기록관리기준표 개발에 관한 연구 - J교육대학교를 중심으로 -)

  • This study aims to develop the records management standard table of the college of education through mapping transaction and records folder based on identifying the problems of the college of education. For these purpose, the study analyzed the records classification system of the all college of education. And then, drew out the business transaction items for records management standard table of the college of education based on the records management standard table of the local governments. Consequently, based on analysis, this study developed the records management standard table and suggested efficient management plan to apply Business Reference Model(BRM) to the college of education in 2017.

  • As social and political paradigms change, public institution tasks and structures are constantly created, integrated, or abolished. From an effective record management perspective, it is necessary to review whether the previously established record classification schemes reflect these changes and remain relevant to current tasks. However, in most institutions, the restructuring process relies on manual labor and the experiential judgment of practitioners or institutional record managers, making it difficult to reflect changes in a timely manner or comprehensively understand the overall context. To address these issues and improve the efficiency of record management, this study proposes an approach using automation and intelligence technologies to restructure the classification schemes, ensuring records are filed within an appropriate context. Furthermore, the proposed approach was applied to the target institution, its results were used as the basis for interviews with the practitioners to verify the effectiveness and limitations of the approach. It is, aiming to enhance the accuracy and reliability of the restructured record classification schemes and promote the standardization of record management.

  • 41 species of Korean freshwater Cladocera have been recorded up to now, but very few taxonomic works on this animal group have been carried out . As there is shortage the references useful to identifiy the Korean materials, the present key is made to fill it up. This key comprises 53 Korean species, of which 42 including 11 new records in Korea have been collected from Korean from 1978 to 1986. 42 species, except 11 species that could not be examined by the author , are all figured on the basis of their morphological characters.

  • For a good record maintenance according to organization and functions in Korea, it is required to make better use of 'Records Disposition Schedule', which is originally developed as a computerized system that can control the whole records maintenance procedure and manage every record according to organization and functions. 'Records Disposition Schedule' is only a system that allows us to maintain every record according to organization and functions and manage every information about such organization and functions. Accordingly, a well-functioning Records Disposition Schedule requires the exact modification and operation of such schedule depending upon organizational or functional changes. If the Records Disposition Schedule is not reasonably modified and operated depending upon organizational or functional changes, we won't be able to maintain any records in linkage with organization and functions and control the whole works throughout record maintenance.

A Case Study on Redesigning the Retention Schedule of Common Functions in National Research Institutes of Science and Technology (과학기술분야 연구기관의 공통기능 보존기간기준표 설계 사례)

  • This study is a record of the process of jointly designing the records classification scheme and the retention schedule for archival appraisal, which are vital in records management. A total of 8 institutes participated voluntarily and redesigned the retention schedule, which consists of 16 common functions, 66 tasks, and 381 files for about 4 months. The process consists of reviewing the regulations related to the records management of the participating organizations, determining the hierarchy and scope of the retention schedule, deriving 16 common functions as well as the unit task for each function, and constructing the file of each task. In situations wherein it is difficult to expect the government-led policy and strategy specific to the research institute and the research records management, the retention schedule designed jointly by the records managers of the scientific and technological field serves as a useful records management tool. This collaborative effort between records managers of similar agency records will also be significant in jointly coping with the new policy and innovation plans in the future.

A Construction Case of BRM 'Danwigwaje' in Basic Local Governments : Focussing on Gangbuk District of Seoul Special City (기초지방자치단체 기능분류체계(BRM)의 단위과제 구축 사례 서울특별시 강북구 사례를 중심으로)

  • The classification scheme of records indicates a table that intends to express organic relations between records by organizing records and enabling internal order. Although the principles of organic classification have remained in traditional records management environment, they have been changed to "function and business" in the modern times. Therefore, Korea introduced a business reference model (BRM) based on function and business from 2008 and subsequently implemented its operation. However, it has been pointed out that the roles of the classification scheme of records have not been played because the analysis of "Danwigwaje," which belongs to the lowest level of business reference models, is poor. According to this indication, the Gangbuk District of Seoul Special City established a functional classification scheme by executing a business process analysis of "Danwigwaje." First, the record manager carried out analyses on the principles of "Danwigwaje," small function, and "Danwigwaje." Then, the functional classification scheme of "Danwigwaje" was modified by looking into the opinion inquiry process of the treatment department and performing a test operation. Through the case of the Gangbuk District in Seoul Special City, analytical procedures and methods of "Danwigwaje," as well as implications according to the establishment of a functional classification scheme of basic local governments, were arranged in a written format.

  • The purpose of this study is to examine and analysis the problems in managing 'Business Transaction(Danwi-gwaje)' of regional local government, and propose implications. The study points out the problems emerged in the operation process of Business Transaction including creating of Business Transaction and Business Transaction Profile, setting retention period and filing records, and gives concrete example of them. It concludes with presenting improvements and considerations in managing Business Transaction for systematic and efficient records management.

  • The purpose of this study Is to investigate the possibility and the limit of the application of the registration data to the description of records and archives by analyzing of the elements in the registration of records prescribed in the Record and Archives Management Act of Korea. Registration data provides the descriptive information of records at item or file levels. And also the registration data makes an important role of providing the primary descriptive information for progressively describing the series and group level of archives by archivist, which eventually conform the principle of the multi-level description. Therefore the registration of records is one of the management process of records which makes records to be a manageable objects. In addition to that the registration of records is the first level in building the multi-level description of records and archives.

A Study on the Design of a Topic Map-based Retrieval System for the Academic Administration Records of Universities (대학 학사행정 기록물의 토픽맵 기반 검색시스템 설계에 관한 연구)

  • A topic map was designed as an efficient information retrieval method that is optimized for classification, organization, and navigation through the use of a semantic link network above information resources. With this, this study aims to design a topic map-based university archives retrieval system to provide the relevant information retrieval. For this study, electronic records that relate to the academic administration within two years of D university were collected, and topic map editing was carried out with Ontopia Omnigator. Topics were classified according to their functional analysis of academic administration. In the end, the number of topics was finalized as 626, with 6 types in general: academic work, staff, college register, student, university, etc. Association was separated into six types as well, which were formed with consideration to the relationships among topics. In addition, there are seven occurrence types: register class, register number, register date, receiver, title, creator, and identifier. It is expected that the associative nature of the designed topic map-based retrieval system in this study will make navigation of large records easy and allow incidental discovery of knowledge.

  • The Records and Archival Management System of Korean Government was founded in the early 1960s after the overall national structure reform and the implementation of the new administrative management technique, which boosted the efficiency of the way of conducting business, into the public administration, and Promoted in 1962, the records appraisal and destruction works included not only retention and destruction of official documents but also the development of efficient management and elimination systems for official documents to be produced in the future. and Korean government elaborated the appraisal system to stipulate the retention period on the basis of functional classification and documentary function.
