  • Job and organization analysis of producing institutes is a task that identifies the history of transition and major business functions for various record-producing institutions and must be performed in common within the archives, and many workers must jointly refer to the relevant knowledge. However, in the field, a limited number of people in charge are individually performing by manual work, and the results are not shared. Therefore, this study aims to reduce the work burden of workers through the automation of the job and organization analysis process and build basic resources that can be commonly used by the archives. This study subdivided the task of job and organization analysis into manual, semi-automation, and automation parts by performing FGI with the practitioner of the archive and suggested ways to realize it. In addition, we derive the basic analysis data that can be commonly referenced in the electronic records management process, and by verifying the results through practitioners, efficient use of knowledge resources is suggested. Furthermore, by establishing a standardized work process, we intend to lay the foundation to support consistent and systematic work performance.

  • Korea's public institutions produce mandatory production records under the "Public Records Management Act" and submit statistics on production status to the National Archives of Korea every year. However, there is a difference between the actual status of compulsory records produced by local governments and the status statistics submitted to the Archives. Based on this, an improvement plan was proposed after identifying problems with the production management system of the production obligation records. In particular, the scope of the production obligation records is ambiguous, and the person in charge lacks an understanding of the specific scope. In addition, only certain work-oriented records are being produced. As such, the improvement plan shall clearly determine the target of the local government's production obligation records, and the person in charge of the affairs shall understand it and implement an ordinance on the production and management of the local government's production obligation records.

From an effective record management perspective, it is necessary to review whether the previously established record classification schemes reflect these changes and remain relevant to current tasks. However, in most institutions, the restructuring process relies on manual labor and the experiential judgment of practitioners or institutional record managers, making it difficult to reflect changes in a timely manner or comprehensively understand the overall context. To address these issues and improve the efficiency of record management, this study proposes an approach using automation and intelligence technologies to restructure the classification schemes, ensuring records are filed within an appropriate context. Furthermore, the proposed approach was applied to the target institution, its results were used as the basis for interviews with the practitioners to verify the effectiveness and limitations of the approach. It is, aiming to enhance the accuracy and reliability of the restructured record classification schemes and promote the standardization of record management.

  • This study aims to provide the basic functional requirements and degree of importance of online archival exhibitions, which have played an essential role in the records information service lately. It first derived the properties of online archival exhibitions and their functional attributes through literature analysis. Next, it analyzed the degree of importance of functional requirements using the analytic hierarchy process (AHP) method. As a result, 3 properties and 13 functional requirements of online archival exhibitions were proposed. It was found that the archivists managing the online archival exhibitions considered the most important property to be "Information Transmission," the second the "Effectiveness of Exhibition," and the third the "Informative Function." As for the most critical functional requirements, these are "Aesthetics," "Interaction," "Usability," "Educational Experience Provision," and "Promotion and Exhibition Activation," while the least are "Theme Originality" and "Content Inclusiveness."
